Set up the laboratory: team, sectors, contacts, products and objectives.

This guide covers setting up and running a laboratory: team, sectors, contacts, products and objectives.

Setting up your laboratory

Invite the team

  1. Open Team, then Invite a member.
  2. Choose the role (supervisor or delegate). The email is optional.
  3. Share the generated link or invitation code, by WhatsApp or email.

Pending and expired invitations are listed below the team. The number of members depends on the plan and the seats purchased.

Create sectors

A sector groups real municipalities. A delegate only sees contacts in the localities of their sectors.

  1. Open Sectors and create a sector.
  2. Add the municipalities it is made of.
  3. Assign one or more delegates.

Build the contact database

Three ways to add contacts:

  • One by one, from the Contacts screen.
  • CSV import of your existing file (Premium).
  • Reference database: import the geolocated health facilities of your country, provided by Delemed.

For each contact, fill in:

  • the city, which links them to a sector;
  • the potential A, B or C, which sets the visit frequency;
  • the practice type: in a facility or in a private practice;
  • the GPS position, optional but required for the map.

A contact without a city is visible to no delegate. Check this column before a CSV import.

Target and cover

  • Target segments: group contacts by specialty and type to guide visits.
  • Coverage: track the share of contacts seen within their cycle. Default cadences are 14 days for A, 28 days for B and 60 days for C.

Products and objectives

  • Products: add the laboratory's products. They are offered in visit reports.
  • Objectives: each month, set the number of visits per day for each contact family. Supervisors then distribute them per delegate (Premium).

Laboratory settings

  • Working hours: GPS is only active within this range (08:00 to 17:00 by default).
  • Cadences by potential: change the expected visit frequency for A, B and C.
  • Subscription and seats: check the plan and the number of seats used.

Common issues

  • A delegate sees no contacts: they are not assigned to any sector, or the contacts in their sector have no city.
  • Unable to invite a member: the plan's seat limit is reached. Ask the agency owner to add seats.
